1Introduction
This Privacy Policy explains how Index Informatics Systems Pvt. Ltd. ("we", "us", "our") collects, uses, discloses, and protects personal information when you use the Index Care mobile application (the "App").
Index Care is a service management application used by customers, installers, field personnel, sales personnel, and administrators to track service complaints, warranties, installations, field visits, and team activities for Index Informatics.
By installing, registering, or using Index Care you agree to this Privacy Policy. If you do not agree, please do not use the App.
2Location Data โ Detailed Disclosure
2.1 What location data we collect
- Precise GPS location (latitude, longitude, accuracy, speed, heading) of your device.
- Approximate (network-based) location as a fallback when GPS is unavailable.
- Address derived from your coordinates (reverse-geocoded) when you submit a complaint, register a warranty, log a field visit, or record a sales activity.
2.2 When we collect location data
- Foreground collection โ whenever the App is open and you are actively using a feature that needs your location (e.g., raising a service complaint, registering a warranty, logging a field visit, recording a sales lead, or viewing a map).
- Background collection (Field Personnel & Sales Personnel roles only) โ once you log in and your role requires it, the App continues to record your location at periodic intervals (approximately every 30 seconds) even when the App is in the background or the screen is off. A persistent notification ("Index Care โ Working in background") is shown at all times while this is active, so you always know it is running. You can stop it by logging out of the App or revoking the location permission in your device settings.
- Customer / Installer / Admin roles โ location is only collected in the foreground when needed for a specific action (e.g., raising a complaint, registering a product installation).
2.3 Why we collect location data
- Assign the nearest available technician to a customer complaint based on real-time distance.
- Allow technicians to start journeys and provide live ETA to customers.
- Track total kilometres travelled by field personnel for operational reporting.
- Verify that field visits and sales activities are performed at the stated customer location.
- Log the location at which warranties are registered and installations are completed.
- Improve service routing, dispatch efficiency, and team accountability for the employer organisation.
2.4 Who can see your location
- Authorised administrators and managers within your employer organisation (Index Informatics).
- The customer you are visiting may see a high-level ETA (not raw coordinates) when a job is in progress.
- We do not sell, rent, or share your location data with third-party advertisers, data brokers, or any party outside your employer organisation, except where required by law.
2.5 Your control over location data
- You may revoke the Location or Background Location permission at any time via your device's Settings > Apps > Index Care > Permissions. Doing so will disable role features that depend on location.
- Logging out of the App stops background location collection immediately.
- You may delete your account (see Section 8) to permanently remove all stored location history.
Permissions we request from Android: ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION, ACCESS_BACKGROUND_LOCATION, FOREGROUND_SERVICE, FOREGROUND_SERVICE_LOCATION.
3Other Information We Collect
Account information
Name, phone number, email (optional), password (hashed), assigned role.
Service data
Complaints, descriptions, photos, ticket numbers, assignment history, completion notes.
Warranty & product data
Serial numbers, product names, invoice images, purchase & manufacturing dates.
Field visit / sales data
Customer name, phone, visiting-card image, business name, time spent, kilometres travelled, notes, expense receipts.
Photos & images
Pictures you upload from camera or gallery (complaints, invoices, installations, visiting cards, expense bills).
Device & technical
Device model, Android version, app version, IP address, crash logs, and OTP verification logs (auto-deleted after expiry).
4How We Use Your Information
- Authenticate you and maintain your account.
- Provide the core features of the App: complaint management, warranty registration, technician dispatch, field-visit and sales-activity logging.
- Communicate service-related notifications (job assignments, status updates, OTP verification).
- Improve the App's performance, fix bugs, and analyse usage patterns (aggregated, non-identifying).
- Comply with legal obligations and respond to lawful requests from authorities.
5Sharing & Disclosure
We share information only as described below:
- Within your organisation โ administrators and managers see relevant operational data (complaints, assignments, location of field staff during work hours).
- Service providers โ secure cloud hosting (databases, image storage), SMS/OTP delivery, push-notification delivery, and crash-reporting providers, all bound by confidentiality.
- Legal compliance โ when required by court order, subpoena, or applicable Indian law (including IT Act 2000 & rules thereunder).
- Business transfer โ if Index Informatics is involved in a merger, acquisition, or asset sale, your information may be transferred under the same protections of this Policy.
We do not sell, rent, or trade your personal information.
6Data Security
- Passwords are hashed using industry-standard algorithms (bcrypt) โ we never store plain-text passwords.
- All network communication uses HTTPS/TLS encryption.
- Access to production databases is restricted to authorised personnel and protected by multi-factor authentication.
- Auth tokens are stored on your device using Android's secure storage / Keychain.
- Despite our best efforts, no electronic transmission is 100% secure โ please notify us immediately at support@indexinformatics.com if you suspect unauthorised access.
7Data Retention
- Account data: retained while your account is active.
- Location history: retained for up to 12 months for operational reporting, then automatically deleted.
- Service tickets / warranties / invoices: retained as long as required to fulfil the product warranty and satisfy legal/tax requirements (typically 7 years).
- Deleted accounts: upon successful deletion (see Section 8), personal data is removed from our active systems within 30 days. Anonymised audit records may be retained for compliance.
8Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct inaccurate information directly in the App or by contacting us.
- Delete your account โ open Index Care > Profile > Delete Account, or visit indexinformatics.in/account_deletion.php. We will verify by OTP and permanently delete all your personal data within 30 days.
- Withdraw consent to specific permissions (location, camera, etc.) via your device settings.
- Lodge a complaint with the relevant data protection authority.
9Children's Privacy
Index Care is not directed to children under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.
10Changes to This Policy
We may update this Policy from time to time. Material changes will be communicated through the App or by email. The "Effective" date at the top of this page indicates the latest revision. Continued use after an update constitutes acceptance.
